Information We Collect

Account Information

When you create an account, we collect your name, email address, role (coach, parent, student, admin), and organization name. Payment information is processed securely by Stripe and is never stored on our servers.

Student and Athlete Data

Coaches and administrators may enter student information including name, grade level, GPA, attendance records, medical notes, and recruitment profile information. This data is entered by authorized organization staff and is used solely to operate the platform for your program.

Usage Data

We collect information about how you use the platform — pages visited, features used, check-in timestamps, and messages sent through Team Groups. This helps us improve the platform and provide useful insights.

Device and Technical Data

We automatically collect your IP address, browser type, device type, and operating system for security and performance purposes.

Children's Privacy (COPPA Compliance)

OneTeam360 takes the privacy of children under 13 very seriously. Our Youth Mode is designed for athletes ages 8–12 and requires verifiable parental consent before a child can use the platform.

  • A parent or guardian must create and control the account for any child under 13
  • We do not advertise to users under 13 or use their data for commercial purposes
  • Parents can review, correct, or delete their child's information at any time by contacting [email protected]
  • We do not knowingly collect personal information from children under 13 without verified parental consent
  • If we discover we have collected data from a child under 13 without consent, we will delete it immediately

How We Use Your Information

  • To provide and operate the OneTeam360 platform and its features
  • To generate reports, eligibility alerts, and overnight summaries
  • To scan team messages for safety issues (Parent Safety Monitor feature)
  • To send notifications to parents about student check-ins, absences, and eligibility
  • To process payments through Stripe
  • To improve our platform through usage analytics
  • To respond to your support requests
  • To send service-related communications (we do not send marketing emails without your consent)

Automated Features and Data Use

OneTeam360 uses automation to power several features including overnight summaries, message safety monitoring, travel planning, and fundraising campaign tools. These features process data that has been entered into the platform by authorized users. We do not use student data to train external AI models. Automated content is provided for informational purposes and should be reviewed before acting on it.

Information Sharing

We do not sell your personal information. We share data only in the following limited circumstances:

  • Service Providers: We use Stripe for payments, cloud storage for file uploads, and analytics tools. These providers are contractually bound to protect your data.
  • Within Your Organization: Coaches can see athlete data for athletes in their program. Parents can see their own child's data. Admins can see organization-wide data.
  • Legal Requirements: We may disclose data if required by law, court order, or to protect the safety of our users.
  • Business Transfer: If OneTeam360 is acquired, your data may be transferred to the new owner, who will be bound by this Privacy Policy.

Data Security

We use industry-standard security measures including encrypted data transmission (HTTPS/TLS), secure password hashing, and access controls to protect your information. No system is 100% secure, and we cannot guarantee absolute security. If a data breach occurs that affects your rights, we will notify you as required by applicable law.

Data Retention

We retain your data for as long as your account is active. When you cancel your subscription, your data is retained for 30 days to allow for data export, then deleted. You may request immediate deletion by contacting [email protected].
